Participant Transparency & Licensing Policy
1. Purpose of This Policy
This Participant Transparency and Licensing Policy is intended to clearly explain the ownership, licensing structure, and usage rights associated with media produced by Edinburg Spotlight.
Edinburg Spotlight is a documentary storytelling project that records and produces audiovisual media, photography, written content, and other creative materials featuring individuals, creators, and businesses within the community.
Participation in an Edinburg Spotlight production is voluntary. This policy ensures that participants understand how media created during production is owned, used, and licensed.
2. Production Ownership
All media captured, recorded, photographed, written, edited, or otherwise produced by Edinburg Spotlight during the course of production shall remain the exclusive property of Edinburg Spotlight.
This includes, but is not limited to:
• video recordings
• audio recordings
• photographs
• documentary films
• social media clips
• behind-the-scenes footage
• interviews
• written stories
• promotional media
• edited or unedited production materials
These materials are collectively referred to as “Production Assets.”
Edinburg Spotlight retains full ownership and control of all Production Assets in accordance with United States copyright law and applicable laws of the State of Texas.
Participation in a documentary production does not transfer ownership of any Production Assets to participants.
3. Definition of Licensing and Usage Rights
A license is a legal authorization that allows a participant to use certain media created by Edinburg Spotlight under specific conditions.
A license does not transfer ownership of the media.
Under United States copyright law and applicable Texas law:
• The creator of the media retains ownership of the copyrighted material.
• A license grants limited permission to use the material in certain ways.
Participants who obtain a license may receive usage rights, which allow them to display or share specific media assets for approved purposes.
Usage rights may include uses such as:
• social media promotion
• website display
• digital marketing
• storytelling or informational promotion
Licensing terms may vary depending on the media being licensed.
4. Limitations of Licensed Usage
Unless otherwise specified in a written licensing agreement, licensed media may not be:
• altered
• edited
• modified
• re-recorded
• redistributed for resale
• repackaged into other productions
• used in ways that misrepresent the original content
Participants may not create derivative works from licensed media without written authorization from Edinburg Spotlight.
Participants may not remove branding, credits, or identifying marks associated with Edinburg Spotlight productions.
Downloading, editing, or altering media outside the scope of the license agreement is prohibited.
5. Licensing Structure
Edinburg Spotlight may offer participants the opportunity to obtain licenses for certain production materials or post-production media created during the documentary process.
Licensing may apply to materials such as:
• documentary photo collections
• promotional video clips
• social storytelling clips
• micro-documentary features
• extended documentary episodes
• behind-the-scenes content
• entertainment segments or interviews
Licensing terms and availability may evolve as Edinburg Spotlight expands its storytelling formats.
Specific licensing terms and pricing structures are communicated separately through licensing menus or agreements.
6. Future Licensing Opportunities
Edinburg Spotlight may expand its storytelling formats and media distribution over time.
Future licensing opportunities may include, but are not limited to:
• documentary photography collections
• printed publications or lookbooks
• digital blog features
• newsletters
• educational media
• social storytelling content
• community archives
• documentary series distribution
Participants may be offered the opportunity to obtain licensed usage rights for these materials as they become available.
Participation in an Edinburg Spotlight production does not obligate participants to purchase any licensed materials.
7. Use of Content by Edinburg Spotlight
Edinburg Spotlight reserves the right to use Production Assets for purposes consistent with the mission of the project.
These uses may include:
• documentary storytelling
• educational media
• online publishing
• social media distribution
• promotional materials
• community storytelling initiatives
• archival documentation
Content produced through Edinburg Spotlight may be distributed across digital platforms, publications, and media channels.
Edinburg Spotlight may also use Production Assets to promote the project itself and to highlight community stories.
8. Participant Transparency
Edinburg Spotlight is committed to maintaining transparency regarding:
• ownership of recorded media
• licensing opportunities available to participants
• the purpose and distribution of documentary content
Participants are encouraged to review all participation forms, release agreements, and licensing information prior to filming.
Questions regarding licensing or usage rights may be directed to the Edinburg Spotlight production team.
9. Policy Updates
Edinburg Spotlight reserves the right to update or modify this policy as the project evolves.
Updated versions of this policy may reflect changes in:
• storytelling formats
• distribution channels
• licensing structures
• production practices
Participants may be notified of updates when relevant to ongoing projects.
10. Governing Law
This policy shall be governed by and interpreted in accordance with the laws of the State of Texas, as well as applicable United States copyright laws.
Any disputes relating to this policy shall be subject to the jurisdiction of the courts located within the State of Texas.
